Enterprise Tools

Unified portal for the 22,100+ employees for everyday work tools.

Overview

This product was developed as a 0-to-1 unified portal designed to serve the company's 22,100+ employees. The core function is to consolidate access to initially 156 internal work tools through a single sign-on (SSO) solution, with a strategic plan to progressively integrate all core internal work applications into this unified platform.

The Problem

Employees previously had to navigate multiple disconnected platforms for daily tasks, leading to several friction points:

1. Fragmented Access: Users had to remember unique login credentials for every tool.

2. Lack of Centralization: There was no single system to track important action items or company alerts.

Solution

1. Fragmented AccessSinge Sing On: Streamlined access to all work tools through a single set of credentials.

2. Lack of CentralizationIntegrate products and centralize the information (delivered as an MVP with ongoing updates)

Personas

The company comprises over 1,900 roles across 90+ departments. For the initial phase, we are focusing on four primary personas and the common activities shared by all employees.

Persona Evolution

Initially, we identified three personas: Pilot & Crew, Non-flying Employee, and Manager. However, we have evolved these into four distinct categories to better address their unique workflows:

  • Pilot vs. Cabin Crew: Separated because they utilize different documentation, data protocols, and training systems.
  • Non-flying Employee: Now includes Manager, as specific "To-do" integrations for management have been moved to a later phase.
  • International Employee: Established as a separate persona due to unique payment portals and benefit structures that differ from India-based employees.

Design Strategy: From 0 to 1

We used a Decoupled Design Process to build the core architecture and features simultaneously.

1. Defining the Containers (Foundation)
We first established the global "containers"—the Dashboard and Navigation systems to house the user experience:

  • Persona-Driven Grids: Tailored core structures for each personas
  • Continuous Iteration: Refined the underlying grid system through multiple cycles to support all required data types by launch.

2. Feature Scaling & Component Sets
While the architecture was being refined, we followed a two-step process to build the portal’s functionality:

  • Step 1: Visual Foundation: Complete one feature and translated into comprehensive component sets to lock in the design language.
  • Step 2: Concurrent Work streams: With the framework set, multiple designers worked in parallel to build out 14+ individual features.

One Layout for all the personas dashboard

We redefined the approach from role-specific layouts to a Unified Grid System.

After multiple iterations, we developed a single, scalable layout that applies to all persona dashboards to minimize long-term maintenance.

Navigation

To optimize the navigation experience, these three key features were integrated into the final design:

  • Quick Actions:Streamline workflows by providing one-click access to high-frequency features directly from the dashboard.
  • App Launcher: Facilitates a seamless transition during app migration, serving as a centralized hub for all enterprise tools.
  • Role-Based Navigation: Dynamically surfaces menu items tailored to the user’s specific role to reduce cognitive load and clutter.

14 features are Launched in MVP

Here are a few features I worked on for the MVP launch.

Leave Request

Efficiently manage employees’ leave requests, track available balances, and stay informed about upcoming holidays

*Non-flying employees only

My Team

A centralized platform to access essential team information, including the organizational chart, team birthdays, and leave schedules, fostering transparency, collaboration, and a sense of community

Take Away

1.Focusing on what works now, not what we did before
Pivoting quickly to keep the project moving forward instead of holding onto designs that no longer fit technical or project requirements

2.India-US time gap into a 24-hour design cycle
By coordinating handoffs with the India team, we kept the project moving while the US team was offline, effectively our daily progress

3.Asking for help when we need
Scaling our impact by knowing when to speak up. Asking for help allowed us to complete critical user research in just one week
